This policy explains how Trips Gate Ltd ("we", "us") handles personal information when you use tripsgate.co.uk or our travel planning service. Trips Gate Ltd is the data controller for this information. We handle your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Information we collect
- Trip brief details: your name, email address and phone number (if given), plus the trip information you share, such as destinations, dates, number of days, who is travelling, budget, package choice and any notes.
- Information about your travel companions: for example ages of children or mobility needs, where you choose to tell us so we can plan around them. Please only share this with their agreement.
- Correspondence: emails, phone calls and messages you exchange with us, and the plans we send you.
- Payment records: the amount and date of your planning fee payment. We do not store full payment card details.
- Technical data: IP address, browser type and request logs created automatically by our hosting provider to keep the site secure and working.
2. How we use your information
- To reply to your trip brief, recommend a package and confirm your fee.
- To research and write your itinerary, and to handle revisions and questions.
- To take payment and keep accounting records.
- To protect the website against misuse, spam and security threats.
Our lawful bases are: taking steps at your request before entering into a contract, performing our contract with you, our legitimate interest in running and securing our business, and compliance with legal obligations. Where you tell us about health or mobility needs, we use that information only to plan your trip, with your explicit consent. We do not use your details for marketing unless you have separately agreed to it.
3. Who we share it with
We do not book travel for you, so we do not pass your details to airlines or hotels. We share personal information only with service providers who help us run our business:
- Our website host (Vercel Inc.), which serves the site and processes request logs.
- Our email delivery provider (Resend), which delivers trip brief messages to our inbox.
- Our payment provider, when you pay your planning fee.
- Professional advisers and authorities where the law requires it.
We do not sell your personal information.
4. International transfers
Some of our service providers, including our website host and email provider, may process data outside the UK. Where this happens we rely on safeguards recognised under UK law, such as the UK International Data Transfer Addendum or adequacy regulations.
5. How long we keep it
If you send a trip brief but do not go ahead, we keep it for up to 12 months. If you buy a plan, we keep your correspondence and plan for up to 24 months so we can answer follow-up questions, and payment records for six years for accounting purposes. After that, information is securely deleted.
6. Your rights
You have the right to access, correct or delete your personal information, to restrict or object to how we use it, to withdraw consent at any time, and to data portability. To use any of these rights, email info@tripsgate.co.uk. We will reply within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We would appreciate the chance to resolve your concern first.
7. Security
The site is served over encrypted HTTPS and access to your information is limited to the people who need it. No online system can be guaranteed completely secure, so please do not send passport numbers or payment card details through our trip brief form or by email.
